Visit Regulations – SYLVIA Fashion House
1. Introduction
1.1. These Regulations set out the rules governing the services provided by SYLVIA Fashion House in relation to:
a) booking an appointment at the Atelier,
b)conducting consultations and fittings held at the premises of SYLVIA Fashion House, as well as the rights and obligations of the parties arising from the use of these services.
1.2. The Regulations have been published on the website www.sylviafashionhouse.com in a manner that allows the Client to save, reproduce and store them.
1.3. Making an appointment is equivalent to reading and accepting these Regulations.
1.4. SYLVIA Fashion House provides the appointment booking service within the scope and under the conditions specified in these Regulations.
2. Definitions
Regulations – these terms and conditions for the provision of services by SYLVIA Fashion House.
SYLVIA Fashion House – the company operating the Atelier at Królewicza Jakuba 78 in Warsaw under the name Sylvia Spółka z ograniczoną odpowiedzialnością, NIP 7010601940, REGON 0000631044, KRS 365115690, providing design services.
Client – a person booking an appointment or participating in a consultation/fitting at SYLVIA Fashion House.
Visit – an individual meeting with the Concierge and the design team, including consultation regarding the creation, materials, details and
fittings.
Reservation Fee – a non-refundable amount charged to confirm the booked appointment date.
Reservation – confirmation of the appointment made via phone, e-mail or the Calendly system.
Concierge – a dedicated SYLVIA Fashion House staff member responsible for comprehensive service and client care, including coordination of the Visit and the Order process.
Order – an agreement between the Client and SYLVIA Fashion House concerning:
• the execution and purchase of a service or a creation designed and produced based on arrangements made during the Visit and Consultation, or
• the purchase of a ready-made creation available at the Atelier.
The commencement of the Order
(relating to a made-to-measure creation or modifications of a ready-made creation) occurs upon payment of the deposit or the full agreed amount. Ready-made creations may be subject to modifications specified at the moment of signing the sales agreement.
3. Conclusion of Agreement and Appointment Booking
3.1. All appointments are held exclusively after prior booking.
3.2. Appointments may be booked:
• by phone at +48 608 306 806,
• by e-mail at atelier@sylviaworld.com,
• via the online booking system (Calendly).
3.3. Each reservation is confirmed via SMS after the Reservation Fee has been paid to the following account:

3.4. After the reservation is made, the Concierge remains at the Client’s disposal to arrange the details of the Visit.
3.5. The service agreement for the Visit is concluded at the moment the Reservation Fee is paid.
4. Reservation Fee and Payment Terms
4.1. The Reservation Fee is 300 PLN or 70 EUR, required to confirm the appointment, and includes tax.
4.2. Payment of the Reservation Fee is a condition for concluding the agreement.
4.3. All costs related to payment of the Reservation Fee are borne by the Client.
4.4. Payments should be made via bank transfer or another electronic method indicated by SYLVIA Fashion House to the following account:

4.5. The date of payment is deemed to be the date on which the SYLVIA Fashion House bank account is credited.
4.6. If payment is not received within 24 hours of making the reservation, the appointment may be cancelled.
4.7. Within 7 days, SYLVIA Fashion House will issue a VAT invoice or receipt.
4.8. The fee covers an individual meeting with the Concierge, presentation of the collection and discussion of the project.
4.9. If an Order is placed, the Reservation Fee is credited towards the cost of the Order.
4.10. In the absence of an Order, the fee is non-refundable and constitutes remuneration for reserving the appointment and conducting the consultation.
5. Duration of the Visit
5.1. The standard duration of a Visit is 1 hour.
5.2. It is possible to extend the Visit or book additional time at the Client’s request, in exceptional cases and upon prior arrangement with the SYLVIA Fashion House team, no later than one week in advance.
6. Punctuality and Appointment Changes
6.1. Please arrive on time – in case of being more than 15 minutes late, the Visit may be shortened.
6.2. If it is necessary to reschedule, please notify us via e-mail at atelier@sylviaworld.com or by phone at +48 608 306 806 no later than 24 hours before the scheduled Visit.
6.3. Cancelling the appointment less than 24 hours prior results in forfeiture of the Reservation Fee.
6.4. If the Client fails to attend the Visit without prior cancellation, the Reservation Fee is non-refundable.
6.5. SYLVIA Fashion House reserves the right to change the appointment date for reasons beyond its control (e.g., force majeure), of which the Client will be promptly informed.
7. Discretion and Conduct Rules
7.1. Photography, recording and live streaming are strictly prohibited on the premises of SYLVIA Fashion House.
7.2. An exception applies to the creation process within a signed agreement – in such cases the Client may take photographs upon prior arrangement with the team, in the designated photo area.
7.3. All visual materials produced during Visits are the property of SYLVIA Fashion House.
7.4. Client discretion is a priority – full confidentiality and protection of image are guaranteed.
8. Comfort and Etiquette
8.1. SYLVIA Fashion House is an exclusive space of creation, focus and art – we kindly ask for calm and respectful behaviour.
8.2. Entry to the Atelier is limited to invited persons or those accompanying the Client with prior arrangement.
9. Confidentiality and Intellectual Property
9.1. All designs, sketches and materials presented during the Visit are the intellectual property of SYLVIA Fashion House.
9.2. Copying, distributing or photographing the designs without written consent is strictly prohibited.
10. Withdrawal from the Agreement / Termination (Cancellation of Reservation)
10.1. A Client who:
a) is a consumer, i.e. a natural person whose agreement is not directly related to their business or professional activity, or
b) is a natural person whose agreement is directly related to their business or professional activity, but due to its content and nature is not professional in character for them,
may withdraw from the agreement within 14 days without giving any reason. The withdrawal period begins on the day the agreement is concluded.
The agreement is deemed concluded on the date the Reservation Fee is paid, unless the payment was delayed. In such a case, the date of conclusion is the date the online reservation confirmation is sent.
10.2. In the authorisation document, SYLVIA Fashion House informs the Client of the right referred to in point 10.1 by providing instructions pursuant to Annex No. 1 of the Consumer Rights Act and supplies the Client with a withdrawal form template (Annex No. 2 to the Act). If the withdrawal statement is submitted electronically, SYLVIA Fashion House will promptly send the Client confirmation of receipt on a durable medium.
10.3. The right to withdraw does not apply in circumstances specified in the Consumer Rights Act. The Client’s right to withdraw, as mentioned in 10.1, and the consequences thereof, are governed by the relevant provisions of that Act. No provision of these Regulations may be interpreted as extending the Client’s rights beyond those set out by law.
10.4. If the Client requests that the Visit take place before the expiry of the withdrawal period, SYLVIA Fashion House is not obliged to refund the Reservation Fee:
a) the right to withdraw does not apply after the Visit or service has been performed as specified in the authorisation document.
10.5. In the event of withdrawal under point 10.1, SYLVIA Fashion House shall promptly, and no later than 14 days from the date of receiving the withdrawal statement, refund the Client’s payment, subject to point 10.4.
10.6. SYLVIA Fashion House may terminate the agreement for valid reasons. In such a case, the entire Reservation Fee shall be refunded to the Client.
12. Final Provisions
12.1. In matters not covered by these Regulations, the provisions of the Civil Code and the Act on the Provision of Electronic Services shall apply.
12.2. SYLVIA Fashion House reserves the right to amend the Regulations. Reservations made prior to amendments are subject to the version effective at the time of booking.
